Seven formats are provided with SPM and are available in the following sub-folders of the installed \Program Files\EarthSoft\SPM\Format folder:
•SPM
•SRN
The EZSPM format is a simplified version of the SPM format. The EZSPM format allows users to easily create multiple planned and scheduled tasks, samples, results, containers, and activities with limited manual data entry. This format assumes the plan already exists in SPM and the SPM_CONTRACT_MAG information is already setup. See the EZSPM Format article for more details.
EZSRN is a simplified SRN format that is designed to streamline the essential information needed by labs. The format has four sections: SDG_Samples, Sample_Issues, SRN_Invoices, and Files.
This SPM format contains the reference values relative to SPM data—specifically cost calculations and containers. The SPM_REF Format can be used to conveniently upload SPM-related reference values via EQuIS Data Processor (EDP). An example EDD named SPM_Example_EDD.xlsx, which is also supplied in the same folder, houses some example container and cost calculation data.
Containers are created in Professional in RT_SPM_CONTAINER, and are named within that process.
SPM imports existing containers from RT_SPM_CONTAINER, and a NEW record is created in DT_SPM_CONTRACT_CONTAINER. Container names in SPM can be edited, and those changes will be reflected in the DT_SPM_CONTRACT_CONTAINER.
Cost calculations are stored in RT_SPM_COST_CALC and RT_SPM_COST_CALC_MAG. See the article Use Advanced Cost in Laboratory Contracts for more details on how to use cost calculations.
The SPM_CONTRACT Format will export contracts from a selected plan code, contractor code, and (optional) Method Analyte Group to a different plan code and/or a different contractor code. The format has the contract start date as an additional primary key (used to check for duplicates) together with the plan code and lab code. The saved EDD file can then be imported into the same or another facility.
The SPM_eQuote Format will load or create a new SPM Contract with Contract MAG, Contract MAG Members and Analytes (if new) and Contract Method.
The SPM Contract is based on a plan code (or set as “global” or “shared” if no plan code reference) and company code as lab code. An existing contract company code can be re-used with a contract start date to differentiate this new contract from an existing contract. The next contract records (MAG, MAG Members, and Method) when created will be linked to this new SPM Contract as its parent. The format has the contract start date as an additional primary key (used to check for duplicates) together with the plan code and lab code.
The SPM Contract MAG uses the Contract ID, the Method Analyte Group Code and the SPM Contract MAG (name) to create the Contract MAG record. This record’s MAG ID is then used to group the SPM Contract MAG Member (CAS_RN) records as MAG’s analytes. Each analyte has a (test) method code linking to the SPM Contract Method. The SPM Contract Method uses the Contract ID and the Method Code to create the Contract Method record.
The SPM Contract MAG has two additional fields, the CAN_SUB_SELECT_YN and the CONTRACT_MAG_DESC. The CAN_SUB_SELECT_YN specifies if the MAG members can be sub-selected when assigning them to a sample. The contract MAG description is a field to help describe the MAG or differentiate the MAG from other MAGs.
The SPM Format runs in EDP to export SPM plans from a facility. The saved exported file is then imported (copied) to another facility. The file includes plan and shared contracts as well as the planned and scheduled tasks and samples. The format has the contract start date as an additional primary key (used to check for duplicates) together with the plan code and lab code. The EDD file can be edited to select records for import.
Information regarding what fields are required in order for the Get/CreateSPM*Id methods to work correctly, are available in the Custom Check tab of the format description file.
The SRN Format is used to submit information pertaining to Sample Receipt Notifications (SRNs). The SRN typically includes information such as the number of samples received, the overall state of the samples received, details of any issues apparent in the samples received, and SRN amendments sent back to the laboratory. The SRN Format has separate sections for issues associated with bottles, samples, and tests in addition to general issues. The format also supports creating COCs from the coc_lab section.
